Maximizing your Conference Experience
To get the most value out of our event, plan your goals and schedule by reviewing the agenda and researching speakers to identify valuable sessions and networking opportunities. Engage actively by taking notes, asking questions, and making connections. Finally, follow up effectively by reviewing your notes, sharing key insights with others, and reaching out to new contacts to solidify the relationships and knowledge gained.
Before the Conference
Define your goals: Determine what you want to achieve, whether it’s learning new information, networking with specific individuals, or identifying potential vendors.
Familiarize yourself with the platform: Before the event you will be able to explore and try out its different features.
Review the agenda and speakers: Research the conference sessions and speakers to prioritize which ones align with your objectives and field of interest.
Registration: Make sure you register using the email ID you’ll use to log in on event day. You’ll receive a unique access link in your inbox. Please note that you cannot share this link. If someone else accesses the event using it, you will be unable to join.
Device & Browser:
- Use a laptop or desktop for the best experience (mobile is supported but limited).
- Recommended browsers: Google Chrome or Microsoft Edge (latest version).
- Ensure your internet connection is stable (minimum 5 Mbps).
Check your setup:
- Test your mic and camera if you plan to join networking tables or Q&A sessions.
- Disable VPNs and close unused tabs for smoother streaming.
- Use headphones to minimize background noise.
During the Conference
Create a personalized schedule: Plan out the sessions, workshops, and networking sessions you want to attend to make the most of your time.
Take notes: Actively listen to presentations and take notes to help you remember key insights and actionable takeaways.
Network intentionally: Introduce yourself to people, participate in online networking sessions.
Engage with speakers: Ask thoughtful questions during Q&A sessions and don’t hesitate to have follow-up conversations to delve deeper into topics.
Be present but also take breaks: Balance attending sessions with exploring the exhibition hall and taking time to rest and recharge.
Joining the Event:
- Click the event link in your email or calendar invite.
- Sign in using the same email ID or log in via your access link
- You’ll land in the reception area, where you can see the event agenda, speaker lineup, and session timings.
- Click “Enter Session” to join a live talk or workshop.
During Sessions
- Keep your mic muted unless invited to speak.
- Use the Chat for general comments or appreciation.
- Post questions in the Q&A tab — upvote others’ questions to prioritize them.
- Use the Raise Hand feature if you’d like to come on screen.
- Be respectful — maintain professional and inclusive communication at all times.
- Avoid spamming or sharing unrelated promotional links.
- Report any inappropriate behavior directly to the organizers.
Networking, Booths & Lounges
- Visit the Social Lounge for casual networking.
- Join the Networking Shuffle — an engaging 5-minute session that randomly pairs you with fellow professionals for quick, meaningful conversations and surprising new connections!
- Each table supports small-group video conversations — click “Join Table” to participate.
- You can move between tables freely during networking breaks.
- Take a moment to explore the booth area — connect with exhibitors, discover new tools, and find inspiration for your next UX project.
Tech Tips & Troubleshooting
If you face audio/video issues:
- Refresh your browser.
- Recheck camera/mic permissions in browser settings.
- Try rejoining the session.
- For persistent issues, email irene@merlien.org or use the “Need Help?” / “Support” button in Airmeet to connect with the event helpdesk.
After the Conference
Review your notes: Go over the notes you took to identify key learnings and action items.
Follow up with contacts: Send personalized follow-up messages to the people you met, referencing your conversations and future opportunities.
Share your knowledge: Consider presenting the highlights, insights, and key takeaways to your colleagues or team to spread the value of the conference experience.
